Tracking Expiry Dates in Landlord Vision

One question we get asked a lot is “how can you help me keep on top of my expiry dates and compliances?”. Well, Landlord Vision has a whole early warnings system to help you to keep on top of what you’ve got going on, and perhaps more importantly, what’s coming up. 

Where Can I Store and Access Expiry Dates for my Rental Properties? 

All of your certificates and other compliance information are stored in Property. Head to Property Manager > Properties, open a property and look for these tabs: 

  • White / Brown Goods 
  • Safety Certificates and Insurances  

Here, you can record details of your certifications, insurances and warranties, and their expiry dates and then set up an early warning to receive notification ahead of time so that you have time to get it renewed before it expires. The Safety Certificates and Insurances tab allows you to record details of gas and electrical certificates, as well as EPCs, EICRs, PAT tests and just about anything else that has an expiry date. 

With the expiry dates and associated early warnings entered, you need to be notified of these events and there are a number of ways in which this can be done within the software. These are listed below: 

On the Portfolio Dashboard: Scroll to the bottom of the dashboard and look for the sections Expiring Safety Certificates, Expiring Insurances and Expiring Warranties. If the section isn’t there, then there is nothing that is expiring for that section. 

View Your Expiry Dates However You Like 

Early Warnings: All of the early warnings appear in this section and you can work your way through them and see what is about to expire and when 

Calendar: Each expiry date and its associated early warning will appear on a date on the calendar. You can also filter the calendar to show which events you are most interested in. 

Your own calendar: Export the calendar to your own calendar to see what is due and when without logging in to Landlord Vision. 

Agenda: The agenda is a bit like the calendar but in a list view rather than a grid format. Use it to see what events are coming up. 

Emails: Set up email notifications in Settings > Email Notifications to get your expiring items straight to your inbox without having to log in to Landlord Vision. Set up daily or weekly alerts. Or one of each. 

Reports: Under Property Reports, you can run reports for Insurances, safety certificates and also warranties. Filter the reports to show what is expiring in a particular time period.
